Who we are

Whitehorse Maritime Academy is the trading name of two companies:

• Whitehorse Maritime (EU) Limited, registered in Cyprus (HE473821), Dimotikis Agoras 20, Larnaca, 6021, Cyprus. It runs this booking system and takes most payments.
• Whitehorse Maritime Academy Limited, registered in England and Wales (company no. 12549509), 171 Duke Street, St. Helens, WA10 2JH, UK. It provides tuition and invoices some company clients in the UK.

The two companies are jointly responsible for your personal information. Whichever you deal with, contact us at hello@whitehorsemaritime.academy.

What we keep

• Your account: your name, email address, phone number and time zone.
• Your studies: the ticket you are working towards, your exam date and results if you tell us, anything you write about yourself, and what you would like to cover in a session.
• Your sessions: what you booked, with whom, whether it went ahead, the summary and focus points your tutor writes for you, and your tutor's own preparation notes.
• Payments: what you paid, how and when, your balance, and for a bank transfer the sender's name and reference. Card payments are handled by our payment provider, Revolut: we never see your full card number. If you book at the Cadet rate, we keep your declaration that it applies to you.
• Your feedback: what you tell us after a session. Only the Whitehorse team sees it, not your tutor.
• Messages: the emails we send you and the messages you send us.

Sessions on Google Meet are not recorded. If we ever offer transcription, we will ask you first when you book.

Why we use it

• To run the sessions you book: matching you with a tutor, sending your Meet link and reminders, taking payment and keeping your history so each tutor can pick up where the last one left off.
• To keep the accounting records the law requires.
• To look after the quality of our teaching and to stop misuse, using your feedback and session records.

We only send you emails about your bookings and your account. We do not sell your data, use it for advertising, or pass it to anyone for their own marketing.

Who can see it

• Your tutors: a tutor you book with sees your profile, your session history with us (including summaries from other Whitehorse tutors) and your upcoming sessions, so they can prepare. They do not see your feedback.
• Others in a group session or clinic see your name.
• Whoever books or pays for you, for example your company, sees those bookings and payments.
• The Whitehorse team, to run bookings and answer your questions.
• The services we use to run our booking system: Google (hosting in London, sign-in, Meet and Calendar), Revolut (payments), Resend (email) and WhatsApp (messages). They only use your data to provide their service to us.

Where it is kept and for how long

Your data is stored in London. Some of the services above may handle it outside the UK or EU, with the safeguards the law requires.

We keep your records while you have an account with us, so your history is still there if you come back for your next ticket. You can ask us to delete them at any time. We then keep only what the law requires, such as payment records for accounting.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to limit how we use it, or to send it to you in a form you can take elsewhere. You can also object to how we use it. Email or message us and we will reply within a month.

If you are unhappy with how we handle your data, you can complain to a data protection regulator, such as the UK Information Commissioner's Office (ico.org.uk) or the regulator in the country where you live.

Cookies

We only use the cookies the site needs to work: keeping you signed in and remembering your cart. We do not use advertising or tracking cookies.
